How to Resign Effectively

A letter of resignation must be fair to both parties involved. Show tact and consideration for the person or parties from who you are resigning.

  • Regardless of the reason for resigning – you hate the boss, the work is too hard, the hours are too long, the work is boring, or you did get a better offer-tact is always required. A blatant statement of the facts may arouse the ire of the reader and preclude a good recommendation should you ask for one at a later date. The resigner should assume full responsibility and not blame the boss for causing the resignation.
     
  • A socially acceptable reason should be given for resigning. It may be because of poor health, someone in your family is being transferred, you wish to change directions, you want to spend more time with your family, or you have served for a number of years. The occasion may arise, however, when a one-sentence statement of resignation with no explanation or comment is all that is required. The recipient of the letter would already know the reason.
     
  • Avoid self-praise. It is well to mention the pleasant aspects of having worked for the organization, but do so by mentioning how your associates made work pleasant for you, not how you helped them. Mention the specific date of resignation.

Memo Writer Tips

  • State what position you are resigning from and the effective date of your resignation.
     
  • Give a reason for your resignation and keep it positive. Now is not the time, regardless of the circumstances, to "burn bridges."
     
  • Thank your present employer for assistance and support and offer to help with screening applications or training a replacement, if you are inclined to do so.
